Available Position: Operations Manager

We are seeking a part-time operations manager. As one of our first hires, you will help lead the development of the business processes of our organization as we move from being fiscally-sponsored to an independent 501c3.

Salary: $30,000/year for 20 hours/week

About the Position:

Based on our values, we are adopting  a democratic governance model in which every staff person will have a leadership and governance role in the organization.

For this Operations Manager hire, we are specifically seeking someone to support the organization with finance, HR and administration. You will also be welcome and invited to join teams working on our programs, governance, communications, etc.

Responsibilities will include:

Finance and Compliance

    • Coordinate day-to-day finance operations; this will mean working first with our fiscal sponsor, and then hiring and working with a bookkeeper to process accounts payable and to track financials, including producing financial reports.

    • Support annual audit through data gathering.

    • Support our move from a fiscal sponsor to 501c3 status.

    • Maintain filings to ensure compliance with federal and state requirements.

Human Resources

    • Develop a hiring process for staff

    • Develop an onboarding process for staff

    • Investigate and implement benefits programs

    • Create contracts and invoices for program-side contractors like journalism fellows.

    • While we are fiscally sponsored, process invoices for staff which includes one full-time and three part-time people. Once we are independent, you will run or supervise a company to run payroll.

    • Maintain HR files

Administrative and Infrastructure

    • Participate in bi-weekly/bi-monthly team meetings

    • Manage relationships with vendors.

    • Manage Directors & Officers Insurance and other organization-level insurance, including identifying vendors, negotiating contracts and supervising the implementation of services.

    • Schedule and provide support for board meetings.

    • Provide administrative support to other staff as appropriate, primarily travel arrangements.

    • Manage, maintain, administer and train others on effective use of platforms and systems. As necessary, identify new systems needed, identify vendors, negotiate contracts and supervise implementation of services.

    • Contribute to the development and integration of new processes as appropriate.

    • Across all areas of work, contribute to annual operations calendars and manuals.

The Person We Seek Is:

  • An advanced user of Excel and Quickbooks, with at least one year’s experience working on organizational budgets (could be in a volunteer context).

  • Excited to learn and experiment with different digital systems (i.e. project management tools, databases, etc).

  • Experience with HR, creating contracts, or, really, any legal work, is a plus.

  • Willing to work virtually (we don’t have a physical office); experience of working virtually a plus.

  • Excited to help develop democratic governance practices; any experiences with cooperatives, collective governance a plus.

  • Living in the U.S. South and connected to social justice movements in this region.
